Macros Notes Profiles

Macros: I have been trying to use macros on Sprout Social but I can’t comprehend what they are used for exactly and how they can be helpful in my daily job as a community Manager with limited access to some features.

Notes: I have been writing notes in the notes area but I haven’t been exactly able to see my notes again when I click on the profile or the the messages’ thread and I don’t know exactly how my other team members can see the note(s).

Profiles: Could you please advise on the best way to manage recurring mentions and frequent comments from unrelated Instagram accounts, specifically how to stop them from tagging us or how to handle one user who comments on every post?

1. Understanding Macros

Think of Macros as a single button that triggers an automated workflow. Since you have limited access, your Account Owner likely needs to create them for you, but they can save you hours of manual work.

  • What they do: With one click, a Macro can simultaneously add a Tag to a message, change its status to "Complete," and route it to a specific folder or queue.
  • How to use them: When reviewing messages in your Smart Inbox, look for the Macro icon (it looks like a lightning bolt or gear icon) at the bottom or corner of the message to apply a pre-built shortcut.
  • Pro-Tip: Ask your Account Owner to grant you the Manage Advanced Inbox Features permission if you need to build these yourself.

2. Finding Your Notes

Notes are meant to build a historical record of a customer, so they do not live inside the fast-moving live message threads.

  • Where to find them: Click on the user’s profile picture or handle in the Smart Inbox. This opens their Profile Card on the right side of your screen. Your notes will appear under the Notes tab there.
  • Team Visibility: Any colleague who has access to that specific Instagram or social profile will automatically see your notes whenever they open that same user’s Profile Card. It is an amazing way to hand off shifts or flag VIP customers!

3. Handling Frequent Instagram Comments & Mentions

While Instagram’s API does not allow external platforms to stop an account from physically tagging you, you can easily control what the public sees directly from Sprout.

  • For a persistent user: Click the gear or action icon on their comment in the Smart Inbox and select Hide. The commenter won't know they are hidden, but your public audience will no longer see their spam.
  • For recurring spam bots: If a profile is strictly unrelated or a bot, you can select Block User directly from the Sprout inbox to permanently restrict them from interacting with your page.
