Honestly Sprout Social has been the biggest game changer for me this year since I advocated for our team to start using it. I spend a significant amount of my time on content planning and social media management for two organizations, and Sprout saves so much time since I can almost always schedule all my content in one spot. Also, I didn’t realize how many tags/mentions I was missing because of Meta’s glitchy notifications, so the smart inbox tool has been incredibly helpful as well. 

I agree! I had a Sprout rep say we use a TON of tags compared to other clients. But I love being able to track both outgoing and incoming topics. Do you have Listening or Advanced Analytics as well?


My favorite tool is my iPad. I love writing notes instead of typing and doing this on my iPad let’s me go back and search my notes, plus lets me color coordinate per client. It’s so much easier to organize and keep track of things across 10+ clients. Being able to have custom notebooks per client and custom pages per notebook is great for managing notes and to-do lists!

Hey ​@julia.sullivan! I’ve been thinking about adding in an iPad to my setup for workflow but haven’t really seen a strong use case to justify the spend. How do you and how often do you utilize it for your workflow? Just curious to get more ideas!


I am addicted to ChatGPT - I just had it write two different ‘Twas the Night Before Christmas’ poems for two different audiences. I even asked how to make it even more personalized and it gave me ideas and then did the rewrite for me until it was perfect. It is my go-to starter when I am just not feeling creative.

Agreed! I know that AI tools often get a bad reputation, but I think they can be a huge time saver. You just have to make sure to edit for content, branding, and voice. But sooooo great for ideas and basic content creation!


Favorite digital tool for note-taking and organization is ~Obsidian~. I’ve been using it for years, and though I haven’t taken full advantage of its capabilities (like linking across notes), it’s definitely been very handy. 

 

Ditto to Canva, CapCut, and AirTable. I’ve tried Notion, but for some reason it didn’t stick. I heard Adobe Rush would be a good tool for video editing, but haven’t tried it yet.

 

Also, I’ve been experimenting with ChatGPT, it’s been cool to use to help with getting the juices flowing when I feel stuck. 

 

And of course, SproutSocial. The analytics reports are so wonderful!

Have you ever tried Monday.com? I’m curious to how that compares to AirTable


Cap Cut is everything to me! Ease of quick editing, exporting, fonts, etc. It really simplifies my editing process and it’s just so user friendly. Also, their free option isn’t even that limiting but I did opt in for the Pro Plan just for some fun extras! 

Interesting take, especially since others have mentioned Canva and Adobe so heavily. Do you use CapCut just for Instagram and TikTok videos? Or, do you use it for all videos? I might have to take a better look at CapCut! Thanks.

I admit that I am a Canva girl, but for more complicated videos or audio editing, CapCut is far superior!


My go-to tool is Sprout Social —an absolute lifesaver for social media management. Managing multiple platforms, I rely on Sprout to streamline scheduling, monitor engagement, and track analytics all in one spot. Its user-friendly dashboard lets me collaborate with teammates and ensures I never miss a post or comment, saving me hours each week.

Runner-up? Canva for designing scroll-stopping graphics on the fly. The templates are a dream, and the integration with social tools makes publishing seamless.

Like many people here, Canva and Sprout Social are tops. So I will share a quirkier one: I love the meme generator Imgflip. Free for the basic memes and super easy to use. Let’s me create fast memes to fill out my content calendars.

Hey ​@Mmejia! As an avid Adobe suite user I can vouch for Adobe Rush! If you already have access to Adobe, give it a try. I use it for making entire videos on the fly and also for an easy resize tool. If you ever have trouble making a 16x9 video into a 9x16, Rush is the easiest tool I’ve found to help with that!

I’m a big CapCut user too! It’s really helpful for me to have more detailed tools. Sometimes I edit videos in canva too.

Good point! Sometimes I stall out in the ideation stage and AI gives me the boost I need to create more ideas and push through that stage. 


Favorite Digital Tool - EVERNOTE (and here’s why..)

I’ve seen people mention their project management software, but I haven’t heard much about how people manage their notes specifically. For me, Evernote is my go-to digital tool—it helps me keep my personal life organized, from trip itineraries to keeping my desk paper-free, and it also helps manage my work tasks and organize my day.

I’m a big fan of TIME BLOCKING. Here’s how it works for me: I break my day into 30-minute increments. Using a custom template I’ve created in Evernote I start my morning (or night before) with planning. On the right side, I list ongoing tasks, and on the left, I plan out meetings, appointments, and to-dos. I assign exactly what I’ll do at each specific time.

The biggest benefit I get from time blocking is understanding exactly what I have time for throughout the day. This clarity helps me build MOMENTUM as I check of all the tasks for the day allowing me to achieve the flow state more easily as the week goes on. It also prevents that feeling of falling short at the end of the day, which can kill momentum.

Have you tried time blocking? Or have you made any adjustments to your schedule that help you get into the flow state more easily?

This looks interesting! Is EverNote something you use on a tablet, or does it work on other devices too? I’ve attempted time blocking just using Google Calendar, and I’ve had varying degrees of success with it.

Hey ​@cassie.jones, great question! That’s actually one of the main features that got me into Evernote is it’s syncing across devices. I use Evernote as a mobile app on my phone and a desktop app on my computer. I’ve even been in a pinch and logged into Evernote web to get access to important notes or to look at my schedule on the fly!

It’s a really cool platform but it also great as a blank slate. You can make it into whatever you want it to be and has so much functionality I haven’t dipped into yet, even after using it for 5+ years!! Might be worth giving it a shot.


Our team uses Asana to manage tasks and projects across our marketing department. Its form submission tool and automations were a game-changer when our direct supervisor was out on maternity leave - our team would have fallen apart without it!

 

We also recently added Canto to our tech stack, and so far I have been really loving the ease of search it has added to our digital assets.

Oh! Never heard of that tool. Man, the one thing I never thought I would have to figure out for social media is DAM. 


Can I cheat and do two? I’m gonna cheat.

 

#1. Canva, my ride or die graphic design tool.

I wear so many hats at work, and having Canva as my sidekick makes my design process so much easier than it would be if I was using Adobe.

At least, I think it does. Canva makes sure I don’t have to figure out how to use all the Adobe bells and whistles--just the ones I desperately need to prepare certain files.

 

#2. AirTable, my project management pick of a decade-plus.

AirTable works the way my brain does and is completely customizable, making it scratch that itch to be able to organize things my way, 100% of the time.

Hey ​@Brittany Taylor! I haven’t heard of AirTable before but I also like platforms like Evernote which allow for high customization. Just curious, since you’ve used it for a decade+, have you tried other platforms? If so, why did you choose AirTable over the others? Thanks!


I’ll offer up some different ones. Talkadot because I’m also a speaker about social media to small business and this helps to get great testimonials as well as ongoing engagements and reportei because I can create individual data dashboards for clients so they feel like they have access and transparency without me always having to whip up a report. 

Okay, had to check out Reportei and I think I’m gonna have to sign up this looks awesome! How often to do generate reports with this tool?

I’ve got them set up to go 1x a month, but you can have any frequency you want, it’s one o the reasons why I really like it. Also a good YoY comparison of MoM comparison is great to have at the finger tips. 


My favorite tool for social campaign ideations is Jasper AI—it’s my go-to for streamlining and enhancing the creative process. It helps me brainstorm fresh ideas, refine messaging, and even generate content quickly, saving me tons of time while ensuring high-quality results. 


One of my favorites has to be CapCut! It is like using a much MUCH more user-friendly version of adobe premiere and not even close to the cost of premiere. The free version alone gives you so many features, including stellar auto-captions. Overall, I love how you can layer multiple pieces of content on top of each other to take video editing to the next level, and the ability to export in such high quality. I regularly think of video projects just so I can get into CapCut and create something! Def my favorite video-editing tool. 


Monday.com!! I know other people have mentioned their project management systems, but I live by Monday. It organizes our content calendar, my meeting notes, my task list, and other projects that need to be done. There’s been a few times where it goes down and I truly don’t know what to do without it. 

I’ve looked at Monday.com and ended up with Honeybook, but that only mostly fits my needs. Have you tried other systems, why do you prefer Monday? ​@tori.zito

I definitely recommend trying out CapCut! Canva is incredible and I use it every day but when it comes to video, it doesn’t compare! CapCut just has so many more capabilities and fun features, even in the free version! I’ve been feeling frugal and haven’t wanted to upgrade to premium… but there are still so many good features. You gotta try it out!

Yes!! I think about the quote “AI won’t take your job, somebody using AI will take your job” all of the time because it blows my mind when marketers aren’t even playing around with AI. We all know it shouldn’t do all things for you because you still need the human experience in there but it really does make SUCH a difference when it comes to mundane tasks or ideating. It helps me get to the fun stuff I actually want to do so much faster. I’m definitely a huge fan!

I also serve as a primary photographer/videographer for my institution, so that makes asset management even that much more important for my role.

I haven’t had the chance to try copy.ai yet, but I’ll definitely look into it. What I truly value about Jasper is its ability to create customized Brand Tones tailored to various needs, whether for social media, web content, or brochures. The feature to set Style Guide rules is another standout—it ensures our platform users stay consistently aligned with our brand's communication guidelines.
